A. JOB SUMMARY:
The Administrative Assistant provides administrative support to the Accounting, Operations, Procurement, and Marketing functions while also performing receptionist duties. This position supports daily accounting and administrative processes, including accounts receivable, accounts payable, purchasing, and payment processing. Maintains and operates scale and corn grading equipment. The Administrative Assistant is also expected to cross-train in key functions to provide backup coverage and maintain continuity of operations within the department.
This is a full-time, 40-hour-per-week position.
B. ESSENTIAL FUNCTIONS OF THE JOB (responsibilities or duties):
Responsibilities include, but are not limited to:
Accounting & Accounts Receivable
• Process, post, and maintain corn tickets on a daily basis.
• Process accounts receivable invoices.
• Apply payments to the appropriate customer accounts and maintain accurate account records.
• Prepare and process weekly EFT payments for distillers accounts.
• Support the Accounting Team with daily, weekly, and monthly reports and accounting-related tasks.
• Maintain organized accounting records in both physical and electronic formats.
Accounts Payable & Purchasing Support
• Assist the Accounts Payable function by matching purchase orders (POs) to invoices.
• Verify that goods or services have been received and accurately receive invoices in Llumin.
• Assist with resolving discrepancies between purchase orders, invoices, and receipts as needed.
• Order and maintain inventory of office and administrative supplies.
• Provide administrative support to procurement activities as needed.
Administrative & Plant Support
• Maintains and operates scale and corn grading equipment.
• Process, sort, and distribute incoming and outgoing mail.
• Provide administrative support to Plant Management, including scheduling meetings, coordinating travel, and other administrative needs.
• Perform receptionist duties, including answering and directing telephone calls and assisting visitors.
• Provide administrative support to Operations, Procurement, Marketing, and other departments as needed.
Cross-Training & Departmental Support
• Cross-train in accounting, administrative, purchasing, and other applicable functions to provide backup coverage during employee absences.
• Maintain sufficient knowledge of assigned processes to ensure continuity of critical daily, weekly, and monthly responsibilities.
• Assist other team members with workload and responsibilities as needed to support effective department operations.
Other Duties
• Perform special projects and other duties as assigned by management or their designee.
• Maintain confidentiality of company, employee, customer, and financial information.

D. QUALIFICATIONS
• Detail-oriented with a strong commitment to accuracy.

• Proficient in Microsoft Office, including the ability to develop and use spreadsheets and databases.
• Ability to multi-task, prioritize responsibilities, meet deadlines, and take ownership of assigned projects.
• Ability and willingness to learn multiple accounting and administrative processes and provide cross-functional support.
• Valid driver’s license required.
E. EXPERIENCE & EDUCATION REQUIREMENTS:
• Prefer prior grain grading experience and experience in bookkeeping and/or accounting;
• High school diploma or GED;
• Equivalent years of experience and/or education.
